This lesson covers the documents, export and settings icons on the Data & functions > Titles toolbar.
The Documents/print icon; the printer, opens the Reporting & analysis window. From this window you can preview, print ( to your default printer) or save a PDF of the selected report.
The titles view has four reports:
- Print list will print a list of all displayed columns
- Information Sheet
- Title catalogue prints a catalogue of the title(s) selected. You can select the order in which to print the titles and which fields to include.
- Performance summary presents a report on the performance for a title. Some fields; such as Permissions, Submissions and Licensing & purchasing are only available with the optional rights module.
You can save report settings for reuse by selecting the Save settings… button at the bottom right of the window. To view using a saved setting select the setting from the Use saved settings dropdown list.
The export icon, the purple box with the arrow exiting it, allows the user to export information for selected fields to a Microsoft Excel file.
The export will include information from all rows in the title records view. This includes selected and unselected rows. To change the records in the view use select an existing Filter or apply a new filter by selecting the Filter & tags… button.
Selecting the Export icon will open the Select fields to export window. From this window select the fields to export. You can reorder individual fields by selecting the Move up or Move down button. To sort all fields by field name select the AZ sort button.
Selecting the Settings icon; the blue gears, opens the View options window. This window provides options for limiting how many records and displayed and which fields; columns, to include in the title record view.
Default filter allows the user to select which records appear when the title view is opened. Many users may want to see all records. Users with a several thousand products may want to see nothing until they search for a title or they many want to see only the records defined by a filter (i.e. only new products, only active titles, etc.)
Items to Load allows the user to limit how many items load when this view appears.
The Columns button opens the Columns window. From this window you can select which fields are displayed in the titles view record list and select the order in which the columns are displayed.
